Emergency Industrial Equipment Sourcing: A 7-Step Checklist for Howden Compressors, Fans, and Heat Exchangers

Step 2: Get the operating envelope, not just a part number

For compressors, that means inlet pressure, discharge pressure, gas composition, ambient temperature, and allowed trip settings. For fans and blowers, it means flow, static pressure, gas density, and shaft power.

Step 3: Know the difference between heat pump and HVAC applications

Step 4: Ask about stock and lead times before asking about price

At Howden, we keep certain compressor packages and replacement parts in stock, but not everything. The quickest way to find out is to ask directly: 'What's the current lead time for this exact model?'

For Howden Thomassen compressors, ask about aftermarket options too. In my experience, a supplier can often find a replacement, a return, or a refurbished unit if they already know the duty conditions.

Last quarter alone, we processed 47 rush orders with 95% on-time delivery. Maybe 46, I'd have to check the system—but it's that range. That did not happen by accident. It happened because we checked availability, freight options, and shop capacity before promising anything.

Step 5: Calculate the cost of downtime before you decide on shipping

Checkpoint: if you don't know the hourly cost of downtime, treat the rush fee as an insurance premium. It's usually worth it.

Step 6: Ask the supplier for a smarter alternative

Small orders get ignored a lot. I understand why some companies focus on big contracts. But at Howden, we treat a $200 order the same as a $20,000 order, because that's how long-term relationships start. When I was a junior engineer, the vendors who treated my small orders seriously are the ones I still use for large projects.

Don't be afraid to tell the supplier what you need and ask if there's a different model that fits the same duty. Sometimes a reverse-flow fan or a different compressor frame size can solve the problem faster than the exact part.

In one case, a client needed a specific large fan for a dryer. We did not have that exact model in stock, but we had a different fan with the same duty point. We shipped it the same day. It was not a downgrade—it was a better physical fit for their foundation.

Checkpoint: after you get the lead time, always ask one more question: 'Is there anything in stock that can meet this duty?'

Step 7: Make sure the after-sale plan is written down

Getting the equipment to the site is not the finish line. Installation, commissioning, and warranty support are part of the emergency too.

In April 2024, a customer received a new screw compressor 36 hours after ordering it. It sat for three days because the lifting lugs did not line up with their old foundation. Nobody had checked the mounting dimensions. That was an easy fix, but it turned a 36-hour supply chain win into a four-day total wait.

For a project with a $50,000 penalty clause, we paid $800 in rush fees and saved the project. That part was worth it. But the installation question is what saved us on another project—we verified the motor rotation direction before shipment and caught a wrong phase.

Checkpoint: before you accept delivery, confirm the delivery address includes access for a crane or fork truck, the mounting dimensions match, and the person who will connect the power has read the wiring diagram.

Common mistakes I keep seeing

Don't call from memory. Part numbers get written down wrong. I do not mean 'maybe wrong.' I mean consistently wrong across many orders.

Don't assume a standard motor fits. A Vornado fan motor has nothing in common with a 50 kW industrial fan motor. The shaft diameter, enclosure, and voltage all matter.

Don't skip the performance test certificate. If the supplier won't provide a test certificate, that's a red flag.

And please don't ask for a quote without telling the supplier it's an emergency. I can move faster when I know the deadline is real. We all can.
